Essential Duties and/or Responsibilities:
Essential Duties and Responsibilities include but are not limited to the following. Other duties may be assigned to meet business needs.
- Order products from vendors based on a comprehensive list of needs.
- Follow up on purchase orders (communications between vendors and sales team) confirm or change orders as needed.
- Update internal databases with order details (dates, vendors, quantities, discounts).
- Maintain an ongoing task list to verify all orders are handled properly.
- Monitor stock levels and identify purchasing needs.
- Detect issues with incorrect shipments and follow through on a resolution.
- Handle returns to vendors.
- Help keep cost/sell pricing up to date.
- Organizing, marking, and routing paperwork to the proper departments.
- Data Entry and filing.
- Cross-train with administrative team members to develop a comprehensive understanding of departmental functions and workflows, enabling coverage during vacations and other absences.
- Provide support to other departments during high-volume or peak periods, ensuring continuity and efficiency across teams.
Knowledge and Skills Required:
- Must be proficient in Microsoft Word, Excel and Outlook (e-mail) programs.
- Strong computer skills with the ability to learn new computer programs.
- Ability to adapt to a variety of job responsibilities.
- Excellent time management skills and ability to multi-task and prioritize work.

Experience:
- 2 + years of a work experience as a Purchasing Assistant, Administrative Assistant, or similar role.
